How to Apply

There are several steps which students must complete before being fully registered for the Rotary Cross Canada tour and the tour organizers would ask that students carefully complete all necessary steps in a timely fashion to assure participation. It is as easy as one, two, three, four…

Each year, four students are rewarded for their promptness and accuracy with a neat prize so why not try and do a great job by meeting all the deadlines and filling in the forms accurately!

Step One

 

If you are a student hosted in Rotary District 7810 or 7820 and wish to participate in the CCT, there will be room on the trip for you but you must immediately get permission from your club and your parents and advise Mike Ross by email rotarytrip@hotmail.com of your interest. Then, you should complete STEP TWO and forward your deposit by cheque or money order for $700, payable to Rotary Cross Canada Tour, along with your club fee of $175. This must be completed before October 15th as the tour will then “open up” to students from outside the 7810/20 districts.

If you are a student hosted in a district other than 7810 or 7820, you should get your parents and club’s permission and then email rotarytrip@hotmail.com and get on the waiting list. You will be advised no later than November 1st, if you are on the trip and then you will need to complete all the tasks in Step Two and send in your deposit and club fee. Emailing early will place you in a “first come, first served” order list for acceptance, so an early email to Mike Ross is advised. Once advised, you will have two weeks to process your application and send the required deposit.

Step Two

If in District 7810/20, do now!

If “outside” 7810/20, get organized now!

 

In Step Two, there is the application form to fill in and this should be done with your host parents or your counselor to make certain that everything is done properly. Please print clearly. The email address you use must identify you, so do not use “codes” or “nicknames”… eg  fernanda.bixer@gmail.com or something similar in hotmail or yahoo allows the organizers to easily identify you, dingdong@hotmail.com  is not acceptable!

In the “package” you mail to Rotarytrip, you should include:

  1. The fully filled in and signed application form

  2. A photocopy of your “picture page” in your passport (we keep this in case you lose yours while we are on the trip!)

  3. A photocopy of your student medical insurance card (in case you get sick or hurt while on the trip and have to go to hospital!)

  4. Your deposit of $750 ($700 if in District 7810/20) and your club fee of $175 payable to Rotary Cross Canada Tour.

  5. Four copies of your rotary business cards (so chaperones can start learning your name!

 

Step Three

Complete and mail before December 15th.

In Step Three there are a number of things you need to do and some will take time to arrange so it might be a good idea to start early!

  1. Sign, with your counselor, the Rotarytrip Rules form

  2. Send the Parents/Rotary Permission form. This must be signed in blue ink by both a parent at home and your host club. You should immediately ask your parents to download this document, sign it and mail it to you in Canada so your host club counselor or President can sign it before you need to send it to Fredericton.

  3. The final destination form is important as the trip needs to know where you intend to leave the cross Canada tour on July 20. Discuss this with your club.

  4. Send your second payment by cheque or money order $1,500.

Step Four

Complete and mail before March 1st.

Mail your final payment of $500, plus any extras for additional flights eg from your host community to Moncton to begin the tour. The tour books these flights to be certain everyone travels as a group when possible and to take advantage of group fares. You will be advised in early February what the “extra” flight costs will be.
